How We Work With You?


Initial Contact


The more information you can give us the better. We will need as much detail about your project and ideas as possible, primarily;

your budget (how much you have to spend).

your goals (whom is the audience you want to engage).

how you will measure your success (e.g. an increase in visitor numbers, membership, an increase in revenue or media exposure).

what is the subject (what wildlife or environment are you considering and).

what is your timescale (expected date by which you expect the project to be completed).

Initial Contact

Consultation


On-site Advice and Visits


If after our discussion you and your team feel that a face-to-face meeting would be the best way forward then a good place to start is a single day "Walk and Talk"; if you feel that you need more time with us than a single day we can arrange this too.

Typically during our time together we would listen to your plans and ideas, "walk" with you through the environment or habitat that you are looking to include in your project (if this was appropriate) and conclude our day with an agreed next step. Our team would provide a brief summary of our day together. Our charges are flexible and depend on how much time you need.

Funding Proposals and Tender Documents


If you are looking to put together a tender document or funding proposal then a more comprehensive and technical site survey might be more appropriate. This proposal could include detailed project design with components such as bespoke system builds, installation, interactive interpretation and displays to showcase your wildlife. It might be prepared as a template tender document if this suited you.

We would need to know the budget you are aiming to secure and would charge for preparation and site visits. Whether you need a bespoke system, help to complete an existing project or assessment of a system already in place call us, we can help.

Detailed Design, Planning and Costs


Either after our discussions or when you have successfully secured funding you may feel that Eco-watch make the best partner for your project. At that stage we would prepare a definitive and detailed proposal with specification of what you needed, expected timelines (for a guide see Projects) and updated costs.

This detailed specification and proposal would be a reference point for the equipment, installation, timeline and cost. It could of course be changed as long as we both agree to those changes.

Contract Agreement


We would agree and begin a contract with you based on the detailed specification once we receive confirmation. This could be a formal document or simply a purchase order raised against an invoice. By placing this order with us you would agree to our terms and conditions.

Usually we ask for all material costs and half labour costs to be paid in full in advance of installation. The final balance for your project would be payable on completion. Our contract could include support and maintenance to suit you.

Supply, Installation and Testing


Eco-watch supply and install your system based on the specification document we create together. We are flexible and work around you, wherever possible to fit in with your wider plans. For example, building work or cabled infrastructure may have to be completed before our engineers arrive on site.

We will liaise with you and your team and agree on the most appropriate time for installation. This could be on a single visit or a longer term phased approach.

Completion and Sign Off


Once your system is in place and fully tested we would ask you to sign off the project i.e. confirm that the system is in place to the specification agreed.

Eco-watch's guarantees and warranties are described in our standard terms and conditions. If there is any part of our terms and conditions that would not be acceptable to you it may be possible for us to amend parts of these to better suit. We would of course do this prior to our contract together.

Support and Maintenance


Your system is complete and our support begins. This could be either on a formal level, if you have a support and maintenance contract with us, or more informal advice by email and phone.
